Who we need

Reporting to the Facilities Manager, we are hiring an Administrator to serve as the first point of contact for visitors, clients, contractors, suppliers, and employees at our Mississauga location.

This is an opportunity to join a globally recognized organization in a highly visible role that is central to the daily operation of our facility. You will be the welcoming face and voice of Bureau Veritas, creating a positive first impression while ensuring visitors are supported, inquiries are directed appropriately, and administrative processes run smoothly.

Beyond reception responsibilities, you will contribute to facility operations, workplace safety initiatives, event coordination, and office administration. You will collaborate with teams across the business and play an important role in supporting a professional, organized, and customer-focused workplace.

This is a full-time, on-site position based in the Mississauga office, working Monday to Friday from 8:30 AM to 5:00 PM.

How you will make an impact

  • Deliver an exceptional visitor and customer experience. You will create a welcoming and professional experience for all visitors, clients, contractors, and employees as the first point of contact for Bureau Veritas. You will greet guests, manage sign-in and sign-out procedures, and direct inquiries appropriately. You will also answer and triage calls and emails in a timely manner while maintaining a clean, organized reception area that reflects high service standards.
  • Support office administration and facility operations. You will support the smooth day-to-day operation of the office by maintaining employee and facility records, coordinating incoming and outgoing mail, issuing access credentials, and assisting with onboarding activities. You will also monitor office and visitor supplies, coordinate equipment servicing, and support facility-related requests to ensure an organized and efficient workplace.
  • Coordinate meetings, events, and workplace initiatives. You will support internal teams by coordinating meetings, managing shared calendars, and assisting with room bookings and event logistics. You will also help with internal communications and building announcements, while contributing to employee engagement activities and workplace events in collaboration with Facilities and other operational teams.
  • Support workplace safety and compliance. You will help maintain a safe and compliant workplace by monitoring visitor safety supplies, supporting emergency response documentation, and reporting facility issues as needed. You will also ensure adherence to Bureau Veritas policies, quality standards, and safety procedures.

What you bring

  • Customer service and administrative experience. You have experience in a customer-facing administrative, reception, office coordination, or customer service role. You understand the importance of professionalism, responsiveness, and creating positive experiences for internal and external stakeholders. Experience in a corporate or professional office environment is preferred.
  • Organization and communication skills. You are highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment. You communicate confidently and professionally, both verbally and in writing, and can exercise sound judgment when responding to inquiries and requests.
  • Technical and operational capabilities. You are comfortable using Microsoft Office applications, including Outlook, Word, and Excel. You learn new systems quickly and are able to maintain accurate records and administrative processes with a high level of attention to detail.
  • A welcoming and positive approach. You bring a friendly, approachable, and professional presence to every interaction. You enjoy helping others, remain calm under pressure, and take pride in delivering exceptional customer service. You are flexible, dependable, and able to work independently while contributing to a collaborative team environment.

Compensation 

  • This posting is for an existing vacancy
  • The salary range for this role is $20 to $25.  Our salary ranges reflect the range of skills and experience required for the posted position. The final offer amount for this role will depend on geographical region, applicable experience, internal equity, and the skillset of the candidate.
